Page: Lookup tables

Who this is for: people who build workflows and people who keep reference data, such as cost centre codes, up to date.

Before you start: everyone who can see workflows can see this page and export tables. To create, change, import, restore or remove a table you need the Activate workflows permission (Admin and Editor). Viewers see the same page read-only.

Lookup tables are small tables your workflows read with lookup('<table>', key, '<column>'). They are for reference data, not for personal data or secrets. See Use lookup tables for the whole task.

Column What it shows
Name The name workflows use, with what the table is for. Select it to open the table.
Columns The column names. The first one is the key.
Rows How many rows the current version has.
Version The current version number.
Updated When the current version was saved.

New lookup table opens a form: Name, What it’s for (optional) and Start from (An empty table or A CSV file). Select Create table.

When there are none, the page says No lookup tables yet.

  • Read it in a workflow: the expression to paste into a workflow, with Copy the expression.
  • The grid: the column names and rows. The first column is the key. Filter rows shows only rows that contain the text. Large tables show 200 rows at a time; select Show more rows for more.
  • Editing (Activate workflows): type in the cells and column names, Add a row, Add a column, or remove a row or column with the buttons next to it. The key column can’t be removed. Select Save as a new version, or Discard changes. Problems, such as two rows with the same key, are explained before anything is saved.
  • Export as CSV downloads the version you are looking at. Cells that a spreadsheet would run as a formula get a ' in front.
  • Import a CSV file (Activate workflows) replaces the whole table with the file and saves it as a new version.
  • Remove table (Activate workflows) removes the table and every version.

The Versions list shows every kept version with its number of rows and when it was saved. The current one is marked Current. Select View to look at an older version. It is read-only, and the page says which version new runs read. Restore this version saves its rows as a new version.
